Why Inventory Management Matters More Than Ever

For ecommerce brands and wholesale distributors, inventory is your largest working capital investment. Poor inventory management leads to stockouts, overstocking, write-offs, and unhappy customers.

In 2024, with rising warehouse costs and tighter margins, getting inventory right isn't optional — it's a competitive advantage.

The Fundamentals

1. Real-Time Stock Visibility

If you don't know exactly what you have and where it is, everything else falls apart. A modern warehouse management system should provide:

  • Live stock counts updated with every receipt, pick, and adjustment
  • Location-level tracking so you know which bay, shelf, or bin holds each SKU
  • Multi-channel sync so your website, marketplace, and wholesale orders all draw from the same pool

2. ABC Analysis

Not all SKUs deserve equal attention. Classify your inventory:

Category Description % of SKUs % of Revenue
A items High-value, fast-moving 10–20% 70–80%
B items Moderate value and velocity 20–30% 15–20%
C items Low-value, slow-moving 50–70% 5–10%

Focus your forecasting, replenishment, and warehouse placement efforts on A items. C items can be stored in less accessible locations and reviewed quarterly for discontinuation.

3. Cycle Counting

Annual stock takes are disruptive and inaccurate. Instead, count a portion of your inventory every day or week:

  • A items: Count weekly
  • B items: Count monthly
  • C items: Count quarterly

This maintains accuracy without shutting down operations.

4. Safety Stock Calculations

Buffer stock protects against demand spikes and supply delays. Calculate safety stock based on:

  • Lead time variability — how reliable are your suppliers?
  • Demand variability — how predictable are your sales?
  • Service level target — what stockout rate is acceptable?

A simple formula: Safety Stock = Z × σ × √L, where Z is your service factor, σ is demand standard deviation, and L is lead time in days.

5. First-In, First-Out (FIFO)

For most products, FIFO rotation ensures older stock ships first, reducing the risk of obsolescence or expiry. Your warehousing provider should enforce FIFO through their WMS and physical layout.

Common Mistakes

  1. Relying on spreadsheets beyond 200 SKUs — errors compound quickly
  2. Not accounting for returns in stock calculations
  3. Ignoring shrinkage — theft, damage, and miscounts erode margins
  4. Over-ordering "just in case" without data to support the decision
  5. Treating all channels equally when some have higher return rates

Technology That Helps

Modern inventory management doesn't require enterprise budgets:

  • Cloud WMS: Real-time visibility from any device
  • Barcode scanning: Eliminates manual entry errors
  • Demand forecasting tools: Use historical data to predict future needs
  • Integration middleware: Connects your sales channels, WMS, and accounting

Working with a 3PL

If you outsource fulfilment, your inventory management is only as good as your provider's systems. Before choosing a partner, ask:

  • What WMS do they use, and can you access it?
  • How quickly do they process goods-in and update stock?
  • What's their pick accuracy rate?
  • How do they handle discrepancies?

At The Fulfilment Centre, we provide real-time inventory dashboards and proactive stock alerts so you always know where you stand.
